Meeting Rooms and Computer Laboratory Use


The Aztec Public Library meeting rooms and computer laboratory facilities are designed, equipped and maintained to meet the library's goal of providing for the informational, educational, recreational and cultural needs of the community by providing a location for publicly accessible meetings for organizations and individuals. Use of the facilities is available on an equitable basis to groups requesting facility use.

General Guidelines
bullet City of Aztec, Aztec Public Library sponsored events will have precedence in scheduling.
bullet The City of Aztec and The Aztec Public Library do not necessarily advocate nor endorse the views of meetings or meeting room users.
bullet The library reserves the right to cancel or reschedule a reservation with reasonable notice, if a room is needed for library function/ City function.
bullet All rooms will be scheduled during hours library staff is available, unless prior arrangements have been made with the Library Director.
bullet Excepting for non-profits who can provide a certificate, a non refundable use fee, payable in advance, applies.
bullet Groups using the meetings rooms are required to leave them in good condition and remove all food items brought in from refrigerator and galley areas as well as any equipment belonging to individual or group. The Library or City of Aztec will not be responsible for items left behind.
bullet No private parties are allowed in the Library meeting/conference rooms or auditoriums. This includes showers, receptions, birthday parties and other purely social purposes.
bullet Rooms may not be used as the sole or primary location to conduct business.
bullet No collection of admission fees, sales of products or services, nor other direct fund raising activities is permitted, unless for the benefit of the library.
bullet Religious services open to the public and political party meetings open to the public are permitted if meeting room space is available.


Meeting Rooms

Meeting Room A

bullet Equipped with a dry erase board (dry erase markers are not provided).
bullet Can accommodate one large table and eight (8) chairs.
bullet Wi-Fi is available.
bullet Refreshments may be served here.

Meeting Room B

bullet Seats 10-25 people using up to four tables and 24 chairs.
bullet A galley kitchen with sink, microwave and refrigerator is also available.
bullet Comes equipped with a dry erase board (dry erase markers are not provided).
bullet Digital overhead projection unit, screen.
bullet Wi-Fi is also available.
bullet Refreshments may be served here.

Meeting Room C (A and B combined)

bullet Seats up to 35 people using up to eight (8) tables and 35 chairs.
bullet A galley kitchen with sink, microwave and refrigerator is also available.
bullet Comes equipped with a dry erase board (dry erase markers are not provided).
bullet Digital overhead projection unit, screen.
bullet Wi-Fi is also available.
bullet Refreshments may be served here.

Study Room

bullet May be reserved by small sized group (2-3 people).
bullet Equipped with a small table and 2 chairs.
bullet Wi-Fi is available.
bullet Refreshments may be served here.

Cyber Cafe

bullet Open space within library for which no charge will be levied.
bullet Ten (10) public internet access computers.
bullet Can accommodate up to 32 people.
bullet Wi-Fi is available.
bullet No food or drink - exceptions must be approved by Library Director.

Tech Lab

bullet Open space within library for which no charge will be levied.
bullet Nine (9) computers.
bullet Seating for up to 20.
bullet WiFi connectivity.
bullet No food or drink - exceptions must be approved by Library Director.

Reservations
bullet May be reserved first come/first serve.
bullet Requests may be made by phone (505) 334-7657 or in person at the library.
bullet Room Use Agreement forms available at Library Circulation desk.
bullet Room reservation is not firm until Room Use Agreement form has been completed, signed and applicable fees paid.
bullet " All groups reserving the meeting spaces need to sign a City of Aztec Waiver of Liability. If the room is regularly reserved by the same group or organization, only one waiver per annum is required.
bullet City of Aztec, Aztec Public Library and San Juan College activities will not be charged a fee or key deposit.
bullet Non-Profit groups with a tax ID number, furnished at time of request for the room, will NOT be charged a use fee.
bullet All other organizations: $25 use fee payable in advance.
bullet Reservations may not be made more than six months in advance.
bullet Rooms are only available during the time reserved. You will not be able to enter the room before your reservation time, and you must leave the space in good condition at the time your reservation ends. Set-up or take-down time must be included in your reservation.
bullet Unless prearranged with the Library Director, (505) 334-7658, , meeting rooms and computer spaces are available during regular library hours as follows:
• Monday-Friday 9am-6pm
• Saturday 10am-5pm
• Sunday - Closed
